Hotel Involvement in Event Management – MICE

There are events that are frequently organized by individuals, companies, and other organizations and institutions, and that typically require facilities and services for which most hotels are well-equipped. These are known as MICE events.. These events tend to be quite varied, but what they have in common is that they typically attract a large number of people who will use certain spaces for their meetings, require a range of food and beverage services, in some cases will need to stay overnight, and may require additional services. For this reason, many hotels have the necessary capacity to handle these types of events and activities, which can play a major role in their bottom line.

What are MICE events?

The MICE concept encompasses various types of events:

Meetings

These are specific events organized by individuals or institutions for a specific purpose and typically lasting less than a day. This category could include banquets, tributes, farewell parties, etc.

Incentives

Events typically organized by companies to reward employees who have performed well or achieved exceptional results. In most cases, these events are part of an incentive trip that includes not only the event itself, but also travel, lodging, meals, and some additional activities for the employee and a guest.

Congress (Conferences)

These are events—usually held on a regular basis—organized by institutions, professional organizations, or other types of associations, with the aim of discussing or advancing knowledge on specific topics. This is also known as conference tourism.

Exhibitions

These are presentations—usually temporary—in which a wide range of products or services is showcased to the public for commercial purposes. Trade shows are large-scale exhibitions and may be aimed at the general public, professionals, or both.

The international events market is booming, holding a leading position in terms of both the number of events organized and the number of attendees.

What types of hotel events are there?

There are several types of hotel events—beyond the MICE events mentioned above—that can help with the development and promotion of our hotel:

  • Business: conferences, meetings, networking events, or team-building activities…
  • Social events and celebrations: birthdays, engagements, weddings, First Communions…
  • Gastronomic: tastings, food trucks, appearances by renowned chefs…
  • Cultural: exhibitions, meet-and-greets with artists and authors, movies, fashion shows…
  • Charity events: auctions, charity galas…

Organization and Management of Hotel Events

Although the comprehensive organization of a MICE event is a highly complex process consisting of a series of stages, hotels typically only play an active role during the phase in which the event itself takes place.
Hosting an event at a hotel depends on multiple factors and actions; therefore, the key points on which the hotel bases its sales pitch for an event are:

The type of event to be covered

The client must define the nature of the event, indicating—as precisely as possible—what their space and service needs will be. For example, whether a large auditorium or hall will be needed for the opening and closing sessions, whether coffee breaks will be offered and where, and whether services such as hostesses, audiovisual equipment, simultaneous interpretation, etc., will be provided.

The dates of the MICE event

Choosing the event dates is of the utmost importance, as they will determine, first and foremost, the availability of the facilities—and, more specifically, the rooms to be booked—as well as the price the hotel will be able to charge for hosting the event.

Estimate

Once the facilities and services the client will need, as well as the dates of the event, have been determined, the hotel must prepare a quote that includes all the details, payment for the services, and any charges for food and beverages.

Contract

The contract signed for the organization of an event at a hotel is an agreement between the parties, which must specify the number and type of rooms booked, the number and characteristics of the guest rooms, catering services, etc.

In short, hotels play a vital role in hosting MICE events in innovative venues that offer inspiring experiences and personalized services.
